Privacy Policy

1. Information you give us

• Account details: your name and email address when you sign in with Google or an email link.
• Early-access interest: your email address, consent and confirmation timestamps, and subscription status when you ask to receive product updates.
• Family details: family names, children's names and birthdays, and calendar feeds you connect.
• Forwarded emails: messages you choose to forward to your family inbox so events can be extracted from them.
• Schedule photos: images you choose to upload for calendar or schedule extraction.
• Optional AI processing: when email or photo extraction is enabled, the relevant message text or image is sent to the AI provider configured for Chaos Coordinator (an OpenAI-compatible provider selected by the service operator, such as OpenAI or another compatible provider). The provider processes that content to return event suggestions; you review suggestions before anything is added to your schedule.
• Notes and lists: event comments, shared list items, and anything else you type into the app.
• Push tokens: device identifiers so we can send schedule alerts you asked for.

2. Information collected automatically

• Anonymous usage counts: which pages are visited and when, without tying visits to your identity. Bots and health checks are excluded.
• Sign-in events: an anonymous timestamp each time someone signs in, used only for aggregate statistics.

We do not use third-party advertising or cross-site tracking cookies.

3. How we use your information

• To run the service: schedules, reminders, digests, and change alerts.
• To extract events from emails and schedule photos you choose to submit.
• To send event suggestions back for your review; suggestions are not added automatically.
• To keep the service reliable and fix problems (aggregate diagnostics only).
• To contact you about your account if needed.
• To send occasional product and early-access updates when you explicitly opt in and confirm your email.

4. How we share your information

We share data only with the service providers needed to operate the app — account sign-in (Google), transactional and early-access email (Resend), inbound email processing (Postmark), optional AI processing (the OpenAI-compatible provider configured for email and photo extraction), and hosting (Railway). Each processes data only on our behalf. We do not sell personal information, share it with advertisers, or disclose it except to comply with the law.

When optional AI processing is used, the provider receives only the email text or image needed for that extraction request. We do not control a third-party provider's retention or handling practices, so review that provider's privacy terms before submitting sensitive information. If AI processing is unavailable, the app keeps the item for manual review instead of silently adding an event.

Calendar feeds you connect are fetched directly from the schools and providers you choose. Their own privacy policies apply to their sites.

5. Children's privacy

Chaos Coordinator is built for parents and guardians, who create and manage family accounts. Children use the app only through parent-shared schedule links — children do not create accounts. If you believe a child's information was added without a parent's permission, contact us and we will remove it promptly.

6. Your choices and controls

• Edit or delete your family's events, lists, notes, and birthdays at any time in the app.
• Remove calendar feeds or turn off push notifications whenever you like.
• Unsubscribe from early-access updates using the link in any update email, or request removal of your interest-list record by emailing us.
• Ask for a copy or full deletion of your data by emailing hello@chaosco.app — deletion removes your family workspace and everything in it.

7. Security and retention

We protect data with encrypted connections, scoped access controls, and least-privilege infrastructure. No system is perfectly secure, but we work to keep it that way and will notify you of any breach affecting your information. We keep your data only while your account is active, plus a short recovery window after deletion.

8. Changes to this policy

If we make material changes, we will note the new effective date here and, for significant changes, notify you in the app or by email before they take effect.
